GDPR Policy – NMC requirements

In accordance with General Data Protection Regulations 2018 (GDPR) I am required to inform you what data I will request from you, how I will process that data and what your rights are in relation to that data.

As a Registered Midwife I am required by the Nursing and Midwifery Council’s Code of Conduct to keep clear and accurate records relevant to my practice, as well as respect people’s right to privacy and confidentiality.

The records I collect include personal information and medical details, as well as relevant obstetric history and specifics around a current pregnancy. I will only ask for information (provided to me directly by you) that I need, in order to provide my services to you effectively and safely. Whilst I take steps to ensure your information is secure, communications by text, email, messenger, social media, and my website may not be secure so please keep this in mind when using these methods. All information will be stored on password protected electronic devices and for any paper files – in a locked cabinet.

In addition, the personal data that I may collect will include contact details such as name, postal address, telephone number, email address as well as financial and transaction data, such as credit or debit card number.  Your information is stored securely on a computer system. I have security procedures in place to protect your personal data from loss, misuse, alteration, or destruction. Additionally, I aim to ensure that access to your personal data is limited to those who need to access it. Those individuals who have access to the data are required to maintain the confidentiality of such information.

I will not share your personal information with any third parties, without your consent unless it was a matter of your or your baby’s safety, safeguarding or public protection, in which case I would have a legal and professional obligation to share any relevant information with the appropriate agencies. With your consent I may share relevant information with other health professionals involved in your care, if required, for example your GP, health visitor, midwife or any other health professional supporting you and your baby.

I am required to retain your personal data for a period of 25 years, as per Government requirements. You have the right to request access to your personal data, as well as right to correction and deletion of this data (where appropriate). If you are not happy with how your Data is managed, you have a right to complain. You can do so by contacting the Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF. ICO Helpline number: 0303 123 1113, ICO website: https://www.ico.org.uk

I would kindly suggest that you raise any concerns with me in the first instance so we can try to resolve these.

HOW YOUR PRIVACY IS PROTECTED

When we collect information from you, we only collect information that is required in order to provide you with the service that you need.  The personal data that we may collect include contact details such as name, postal address, telephone number, email address as well as financial and transaction data, such as credit or debit card number.  Your information is stored securely in our computer system. We have security procedures in place to protect your personal data from loss, misuse, alteration, or destruction. Additionally, we aim to ensure that access to your personal data is limited to those who need to access it. Those individuals who have access to the data are required to maintain the confidentiality of such information.

WHAT WE DO WITH YOUR INFORMATION

We will pass your contact details to the instructor who will be delivering your course.  Your instructor will contact you in order to send you material related to the course and to tell you about the local services and support that are available to you during and after your pregnancy.  Our admin team may also contact you with information about your course.

We may share personal data that you submit to us via this website with suppliers or subcontractors working on our behalf in accordance with our data protection obligations.  Some of our service providers who process your data may be based outside of the EEA.  We will take measures to ensure that such handling of your data comply with applicable data protection laws.

We would also like to use your name and email address to inform you of our future offers and similar products.  This information is not shared with third purposes and you can unsubscribe any time via email at:
[email protected]

There are times when it is just not practical to ask a person for consent. In many situations, the best approach for us is to process personal data because of our legitimate interests, rather than consent.

Given the very social nature of our course, we will be putting together a Group Contact List in which you will receive one week before your first session.  We process this data based on our legitimate interests. On the list we plan to include the contact details (name, phone number, email address, and due date) for both you and your partner.  If you do not want your details to be shared with other registrants, you can opt out by emailing us at [email protected]

The law allows personal data to be legally collected and used if it is necessary for a legitimate business interest of the organisation – as long as its use is fair and balanced and does not unduly impact the rights of the individual concerned.

We do not sell your personal data or provide it to third parties for their direct marketing use.

We will retain your information for as long as it is necessary for legitimate business purposes.
